Guidance on writing Data Management Plans

When to use DMPOnline

DMPOnline is a Web application for writing Data Management Plans. Follow the steps below to create, complete, share, and export your Data Management Plan.

Only use DMPOnline for the following funders: AHRC, BBSRC, Cancer Research UK (Population Research Committee template), CRUK (standard template for all other fundings streams), Datamanagement ZonMw,  EPSRC, European Research Council, ESRC, Hartstichting, Horizon 2020, MRC, NERC, Natural Science Foundation, STFC, UKRI Future Leaders Fellowships, Wellcome Trust. 

Please remember that most of these funders require the Data Management Plan to be submitted using Arial 11pt font and with a minimum of 2cm borders. You can set these settings in the 'Download' tab of your Data Management Plan.

If you are a doctoral student or are a member of staff not funded by any of the above funders, please use the University of Bath templates instead. 

Creating an account

If you have not used DMPOnline before you will have to register for an account:

  1. Go to DMPOnline and select 'Create account'.
  2. Complete the create account form using your University of Bath email address.
  3. Choose 'University of Bath' as the organisation.
  4. Agree to the terms and conditions and click on 'create account.

Or you can sign up using your University of Bath credentials: 

  1. Go to DMPOnline and stay on the 'Sign in' tab.
  2. Click on 'Sign in with institutional credentials'.
  3. Type in 'University of Bath' and this will take you to the University of Bath Single Sign-On page.
  4. Then create an account using the instructions above.

Creating a Data Management Plan

  1. Select the 'Create plan' tab.
  2. Add the title of your project to the 'what research project are you planning' box.
  3. Keep 'University of Bath' as the primary research organisation, unless this is not the case.
  4. Start typing the name of your funder and select the relevant one from the list.
  5. If you are a doctoral student please use the University of Bath Doctoral template (not in DMPOnline) instead.
  6. If you are a member of staff not funded by one of the available funders please use the University of Bath template.

  1. Click on the 'Project details' tab and complete the sections. The project abstract should be 2-3 lines only.
  2. Click on the 'Plan overview' tab and read about the information that you will need to provide in the plan.
  3. Click on the 'Write plan' tab and expand each section to fill in the details of your project. There is extensive guidance given for each section and example wording.
  4. When you expand each section, on the right hand side there is a 'Guidance' tab and a 'Comments' tab. You can write comments for your collaborators in the comments box.
  5. If you want to return to your plan at any time after signing out, sign in and then click on the 'My Dashboard' hyperlink at the top left handside of DMPOnline - this will take you to a list of your Data Management Plans.

Sharing a Data Management Plan

  1. Select the 'Share' tab.
  2. Set your plan visibility - note that if your plan is set to 'Public' anyone who is registered to use DMPOnline will be able to view your plan.
  3. In the 'Invite Collaborators' email box enter the email address of anyone who you want to be able to read or edit the plan and click on the option that is suitable for that collaborator.
  4. Click on the 'Submit' button and this will send an email to your collaborator inviting them to sign into DMPOnline; they will be able to view the plan on their 'Dashboard'.

Exporting a Data Management Plan

  1. Once you have completed your plan you can download / export it by clicking on the 'Download' tab.
  2. Select which parts of the plan you want to download. For grant applications don't include the project details coversheet as generally grant applications have page limits which would exclude the information given on the coversheet.
  3. Select to which format you would like to export the plan.
  4. Select the font, font size and set the margins. Note: most funding bodies stipulate Arial, font size 11 with margins of at least 2cm.
  5. Click on 'Download Plan'.
